WORKSPACE APPRAISAL AND IMPROVING WORKSPACE PERFORMANCE


Despite property usually being one of the top two revenue costs for most organisations, the use and suitability of workspace to support business processes and activities is not properly reviewed until a major refurbishment or relocation is being planned. Even then current Workspace Performance (the organisation’s existing relationship between property, staff, customers and the organisation’s brand or image) is given little real attention. This situation is not helped by the many suppliers in this area who view the study of current Workspace Performance (Workspace Appraisal) as a cost of sale to be minimised, quickly shifting their clients focus to proposals for future layouts and new design concepts. Consequently all too often an opportunity is missed to engage with all stakeholders to develop a design brief for a truly effective workspace environment which will be usable for all.

However in today’s economic climate, refurbishment or relocation is not currently an option for many organisations. We are now seeing that for many organisations reviews of use and suitability of workspace are being initiated as changes to workforce numbers are being made. As the capacity of the existing workspace is considered, many managers are quick to spot opportunities for cost reduction and avoidance, as well as opportunities to improve workspace effectiveness and satisfaction for remaining staff members. Unfortunately without the catalyst of a refurbishment or relocation, or a team member experienced in Workspace Appraisal many of these opportunities are being missed.

Over the last five years Konvergence have worked with many of its clients to design, develop and continuously improve public and private sector workspace environments. It is our experience that to successfully improve workspace performance whether in an existing environment or part of a refurbishment or relocation project requires a better understanding of existing arrangements (Workspace Appraisal) followed by an integrated implementation approach which applies simple process changes, staff training and performance management measurement, with any investment in reconfiguration, refurbishment or relocation.
